How WorkWise ERP Embraces 5S Methodology
5S is the name of a workplace organization methodology that uses a list of five Japanese processes, seiri, seiton, seiso, seiketsu and shitsuke. The overall 5s process describes how to organize a work space for efficiency and effectiveness by identifying and prioritizing the items used, structuring the area and items for maximum productivity, and enforcing the new the new standard. The initial process usually starts with a dialogue about standardization which, in turn, builds a clear understanding among employees of how work should be done. The dialogue also instills a sense of ownership for the process, within each employee.What is 5s?
A 5s First!

How It Works
RBW 5S – Sort
This is the 5S phase where, for each user or user group, all available WorkBench functions are reviewed, ranked and then selected for inclusion on the Workbench (workspace). Functions that are not needed are eliminated, and those that are needed are selected for inclusion on the work bench.
RBW 5S – Set
This 5S phase, often called “set in order”, determines which functional tabs should be placed where on the WorkBench. Key functions will be placed in easy to “reach” areas of the screen, typically higher and on the left of the RBW. The key concept is to organize all the functions for maximum productivity and efficiency. As in the shop, people are more productive when they aren’t searching for items to complete their work.
This phase also includes the simplifying of the flow of work. In addition to the functional tabs, each WorkBench has a set of tasks called Browser Functions which can be included and sequenced so that the most important tasks are done first. Also, each user/group can develop queries to present and group data according to the user/group needs.
RBW 5s – Shine
Now that the RBW has been organized and structured, it becomes necessary to keep it clean. On a regular monthly schedule, obsolete and/or unnecessary queries should be reviewed and removed. Query names can also be updated for clarity to ensure reuse by others. Other settings can also be updated to match current operating circumstances. For example, dispatch timetable views can be adjusted to see more or less of the schedule, depending on the current focus needed.
RBW 5S- Standardize
After the first set of WorkBenches are created, cleared of clutter, ordered for productivity, and regularly maintained for a primary functional area of the company, the process can then be carried to other similar areas. This creates a standardized process across the enterprise, simplifies the training process (cross training of users), and makes it easier to manage.
RBW 5S- Sustain
As with any process, monitoring and enforcement are necessary to keep the process working. Incentives, penalties or other methods are needed to ensure the process is in place and stays that way. Users that frequently find ways to improve the content and use of their WorkBench should be rewarded as well as those who develop valuable queries that can be shared across the enterprise.
